1. Undertake administrative job, paper work, daily transaction related to correspondence, logistic and filing
- Update legal documents of the company: Business license, Investment Registration Certificate, Power Of Attorney Confirmation of BOD and other related legal documents
2. Manage staff’s stationery, uniform, PPEs and tools for employees.
- Logistic for new hires (Prepare uniform, stationery, name tag, business card (if needed), introduce new employee) belonging to Head Office
- Manage hygiene and cleaning in the office. Manage and maintain equipment in the office such air conditioners, printing machine, water dispenser, tables, chairs, coffee machine, refrigerators, ect...
3. Order or register any service, consolidate, check invoices and process the payment:
- Manage petty cash in advance and process any payment for daily admin expenses relating to printer, stationery, water, post, electricity and overtime management fee.
- Register facilities for employees such as conference attendance, airfare, hotel, visa for business trip and training: ordering or registering any service, consolidating, checking invoices and processing the payment.
- Prepare logistics for event, seminar and training of the Company
- Organize engagement activities for employees in holidays or special occasions such as Christmas, Woman Days, Happy lunch, Townhall, etc...
- Manage expenses and invoices of travel for work, business trip and phone call
- Order business card, employee card, taxi card, and employee certificate
4. Facilitate Your Voice Count survey
5 Support MD:
- Process any payments, prepare meeting, booking flight and hotel for business trip, some necessary contacts with customers
- Follow and renew personal docs for MD and Expat employees of Passport, Visa, Work Permit, health check, membership card, ect...
6. Support HR:
- About information, document and process related to employee entering, quit the company, monitor process of probationary, renewing and terminate service agreement.
- Prepare staff performance appraisal, appointment, new employee introduction, internal announcement letter to employees and departments, updating company organize chart.
- Prepare documents, translate, organize classes, communications about personnel policies, code of conduct, internal compliance regulations, necessary licenses for employees.
- Support to create new accounts, delete leavers, editing video, content for U+ training, remind and follow employees to complete U+ courses
7. Support other teams if is necessary
Requirements
- Graduated from College/University with major in Business Administration, Linguistics, English
- Have at least 02 experience year in the field of HR or administrator
- Good working behavior
- Able to work independently and hard working in a multi task function
- Good communication and problems solving skills
- Good English skill
